- PROGRAM DESCRIPTION AND NEW FEATURES
- ------------------------------------

- Congratulations on selecting ProFile Professional Filing System. Version
- 2 of ProFile has many new enhancements that will make it more useful to
- you.
-
- ProFile Professional Filing System is a practical, shareware database
- manager for PC's. It can help manage customer lists, inventory, just
- about anything. It can print reports, invoices, labels, and form
- letters with its mailmerge file feature. It can also help you prepare
- bulk mailings with its advanced bulk mail sort. ProFile can share
- information with other software programs, such as word processors,
- spreadsheets, or database programs.

- The program is designed so you can get started quickly and easily.
- After you are comfortable with the system you may then expand to use
- its more powerful features as you need them. No computer experience is
- required and help is only a key-stroke away, any time you need it. The
- program has received excellent reviews by Shareware Distributors and
- users across the country.

- ProFile version 2 has many new features and functions. Listed below are
- the major NEW functions of the program.

- LINK MULTIPLE DATABASES
-
- ProFile now supports linking multiple databases to one data entry Form
- through the use of Lookup Fields. For instance, you could create a
- customer invoice form linked to a customer database and an inventory
- database. By entering a Customer Name, ProFile could find the customer
- address in the Customer database and place it in the invoice form. Next,
- when you entered a part number, ProFile could retrieve a part name and
- cost for you. Lookup fields may either be stored in the current database
- or only referenced (stored in an external database). Lookup fields are
- very flexible and hel you create very complex forms that are easy to use
- and speed data entry.

- CALCULATED FIELDS IN A FORM
-
- Another new feature in ProFile is the ability to create a calculated
- field in a form. Calculated fields allow you to perform math on
- the numerical fields in a database. You enter a formula that may
- reference other fields in the current database (or other databases via
- lookup fields). The formula may contain multiply, divide,add subtract,
- exponent, plus nine functions (ABS, SQRT, SQR, SIN, COS, ARCTAN, LN,
- LOG, EXP). Using the above example for an invoice form, the form may
- include fields that extend the price of an item (price * quantity) and
- then total all of the items purchased.

- DATA ENTRY RULES
-
- ProFile now lets you define data entry rules for the fields in form.
- This helps to increase the accuracy of the data in a form. You may
- designate a field unique, must fill, required, and as uppercase. ProFile
- supports up to ten index files per form. In the Edit section you may
- quickly change the active index field when browsing the database. This
- lets you view the database in index field order, or quickly find a
- record based on the active index field.

- EXPANDED CAPACITY
-
- ProFile has been expanded to handle very large databases. It will work
- with up to four databases and ten index files per form. ProFile supports
- databases with over 2 billion records per database.

- These are just the major features of ProFile. The program is still
- easy-to-use, and fast. The report writer, label writer, and mailmerge
- functions have all been enhanced to take advantage of the new
- capabilities of ProFile.

- SHAREWARE REGISTRATION

- Shareware is a new concept in the distribution and marketing of programs. It
- allows you to use the software first and then make a decision to purchase the
- program.

- ProFile is distributed and marketed through the shareware concept. You may
- copy the program and give it to a friend or colleague for evaluation. Or,

- A ProFile registration licenses you to use the product on a regular basis.
- A registered user receives mailed notification of updates and free technical

- ProFile; registration includes licensed use of all upgrades.

- REGISTRATION SCREEN

- When you start ProFile, ProFile displays the registration screen. This
- screen explains that you may use ProFile for a thirty day evaluation
- period. ProFile keeps track of the number of days it was used. After
- thirty days, ProFile warn you that the evaluation period is over.

- The registered version does not include the registration screen. If
- you're tired of seeing the message, and plan to use the program, please
- register.

- You may register at any time by pressing "Y" to register when the
- registration screen is displayed. After entering your name, address, and
- other information, ProFile will print the completed registration form.

- GETTING STARTED
- ---------------

- If you are new to ProFile, read the following steps. If you already are
- using ProFile and this is an update, also review the section on
- updating version 1 databases.
-
- Here's how to get started.
-
- o Make working copies of the ProFile Distribution diskettes and
- optionally use the program INSTALL to install ProFile on your
- hard disk (see the next section for more details on installation).
- Floppy disk users will need to transfer the archived sample
- database files to another diskette before using them.
-
- o Try using ProFile's sample database programs. (We'll assume you're
- using a hard disk). Start ProFile (after completing the install
- step) by typing: PF [ENTER] at the DOS prompt. Select the sample
- database file from the list by moving the cursor bar to the file of
- your choice and pressing [ENTER]. (Try the invoice or business
- database.) Experiment by using the Add or Edit function on the Main
- menu. Optionally print out a sample report using the report
- function.

- o Print out the documentation. (See the instructions below.)

- INSTALLING PROFILE
- ------------------
-
- Installation is easy. The instructions are listed for floppy and hard
- disk systems below.
-
- Before you start, make certain that the Master disks are write-protected
- to prevent accidental erasure. You can check this by looking to see if
- the write-protect notch on the right side of the disk is covered by a
- tab. If it isn't, cover it now.
-
- FLOPPY DISK SYSTEM
-
- Make a set of working copies as outlined in the following section,
- MAKING WORKING COPIES. Once that's completed, put the master disks
- aside and only use the working copies.
-
- To start ProFile from a floppy disk, insert your DOS disk in drive A:
- and turn your computer on. After the A> prompt appears, remove the DOS
- disk and insert the ProFile PROGRAM DISK in drive A:. Use your B: drive
- to hold the database files. (You may practice by inserting your working
- copy of the DOCUMENTATION DISK in drive B: and using the example
- databases. They must first be de-archived to another disk before using.)
- Type PF and then press [ENTER] to start the program. See the manual for
- more information on working with ProFile.

- The sample databases are stored in the file EXAMPLE.ARC to save disk
- space. You must unpack the files before using them. To unpack the files,
- type UNPACK and an optional disk drive i.e. UNPACK C:\PROFILE (unpacks
- to a hard disk PROFILE subdirectory) or UNPACK B: (unpacks to drive B:).
- (This is done automatically for hard disk users by the INSTALL program.

- HARD DISK SYSTEM
-
- If you have a computer with a hard disk, it is simple to install ProFile
- on it. Once it's installed you'll enjoy the speed and convenience of
- running ProFile. You'll also be able to work with much larger files of
- information. The following instructions assume the hard disk is called
- C: and it's formatted and ready for use.
-
- Insert the disk ProFile DOCUMENTATION DISK in drive A:. Type INSTALL and
- then press [ENTER]. ProFile's hard disk installation program will now
- copy the software to the hard disk for you.
-
- When you are done, you're ready to use ProFile directly from the hard
- disk. Don't forget to store the master disks in a safe place. To start
- ProFile, type PF and then press [ENTER]. See the manual for more
- information on working with ProFile.
-
- MAKING WORKING COPIES
- ---------------------
-
- Making the working copies is simple. To prepare, format two new
- diskettes. Then copy the files from the ProFile master disks to the
- newly formatted disks. Here are the details:
-
- 1) Make certain that the ProFile master disks are write protected to
- prevent accidental erasure. You can check this by looking to see if
- the write-protect notch on the right side of the disk is covered by a
- tab. If it isn't, cover it now.
-
- 2) Insert your DOS system disk in drive A: and turn on the system.
-
- 3) When the A> prompt appears, put a NEW diskette in drive B:. Then
- type:
-
- Format B:
- and then press [ENTER]
-
- Do this twice. Label the first disk - PROFILE PROGRAM DISK. Label the
- second disk - PROFILE DOCUCUMENTATION DISK.
-
- When DOS asks if you would like to format another disk answer No.
-
- 4) Insert the orginal PROFILE PROGRAM DISK in drive A: and the newly
- formatted disk in drive B:. Type COPY A:*.* B: and then press
- [ENTER]. After all of the files have been copied remove the
- disks. Repeat this procedure with the PROFILE DOCUMENTATION DISK.

- CONVERT PROGRAM FOR VERSION 1 DATABASES
- ---------------------------------------
-
- ProFile Version 2 has many new enhancements to it. Because of the many
- new features, Version 1 databases must be converted to work with the
- Version 2 program.
-
- To update your files, first Make a backup of your ProFile subdirectory
- or floppy disk. Then, use the INSTALL program on the DOCUMENTATION DISK
- to load ProFile onto your hard disk.
-
- After installing the latest version of ProFile, conversion is very
- simple using the CONVERT program. The CONVERT program automatically
- converts the form, and database to Version 2 format. (The index files
- will be re-created when you use the converted database. This is done
- automatically for you.) You have the option of converting all database
- files or just one.
-
- To use CONVERT, simple type CONVERT and then press [ENTER] from the DOS
- prompt. Then follow the directions on the screen. CONVERT knows how to
- distinguish Version 1 and Version 2 databases so you may select to
- update all Version 1 databases even if Version 2 databases are present
- on the disk or directory.
-
- PRINTING THE DOCUMENTATION
- --------------------------
-
- The manual and printing program are contained on the disk labeled
- PROFILE DOCUMENTATION DISK. To effectively use ProFile, you should
- print the manual and then store it in a binder. Here's how:
-
- 1) With the computer turned on, put the disk labeled PROFILE
- DOCUMENTATION DISK in drive A:. Type A: [ENTER] to make it the
- active drive.
-
- 3) Next, type PRINTDOC and then press [ENTER].
-
- 4) Follow the on-screen instructions.
-
- 5) At the prompt to enter in the left margin, enter in a number from 0 to
- 255. The left margin controls where on the page the documentation
- starts to print. For instance, a left margin of 0 will cause the
- documentation to be printed starting the first position on the left
- side of the paper.
-
- 6) You may choose to print the manual to the printer, a disk file, or to
- the screen. Enter P, S, or D and then press [ENTER].
-
- 7) You may interrupt printing by pressing any key. Re-start printing by
- entering Yes at the prompt. Any other key will cancel the print
- documentation function.
-

- COMMAND LINE OPTIONS
- --------------------
-
- ProFile supports a number of command line options that control how the
- program works. (These features are not documented in the manual.) The
- following details these features. See the Dialer section for informtion
- on the -D option (which changes the modem dial command) and the
- Multi-national Support section for details on the -E option (which
- tells ProFile to handle dates and phone numbers according to uropean
- customs).
-
- If you are uncertain of a command line option, you may type:
- PF ? [ENTER]
- at the DOS prompt for a quick summary.
-
- FORCE BLACK AND WHITE DISPLAY MODE
-
- For those users with a monographics card or laptop, you may now force
- ProFile to use a black and white display mode. This should make the
- screen easier to see, especially the menus.
-
- To force black and white display, invoke ProFile by typing:
-
- PF -M [ENTER]
-
-
- DEFAULT DATABASE DIRECTORY
-
- Typically, when ProFile is started, it selects the current directory and
- disk as the default database directory. ProFile may now be started with
- a different default database directory. This eliminates the need to
- press F2 to select a different directory or disk when choosing a new or
- existing database.
-
- To start with a different directory or disk drive, invoke ProFile by
- typing:
-
- PF {directory name}
-
- EXAMPLES OF UNDOCUMENTED FEATURES

- Invoke ProFile and select B: as the default database drive-

- PF B:\

- Invoke ProFile from the hard disk and select C:\MYDATA as the default-

- Invoke ProFile and force black and white display, and select B: as the
- default drive-

- SECOND CLASS SORT
-
- ProFile now supports second class sorting. You can instruct ProFile to
- perform a second class sort by starting ProFile with the -S option.
- Second class sort sorts the records in bulk mail order but groups a
- minimum of 6 addresses together instead of 10 (which is standard for 3rd
- Class Mail).
-
- Examples:

- PF -S
- This starts the program and instructs it to use second class sort.
-

- NO LINE FEED WHEN PRINTING
-
- You can turn off the line feed that ProFile sends to the printer when
- printing reports or labels with the -NOLINEFEED option. This is useful
- if your reports or labels are double spaced when printed.
-
- Examples

- MULTI-NATIONAL SUPPORT
- ----------------------
-
- ProFile now has many functions required for multi-national support.
- You may entire information using the entire multi-national character
- set and ProFile will correctly sort and index a database with
- Multi-national characters.
-
- Since many places in Europe uses pulse dialing, we suggest that you use
- the -D command line option to change the default pulse dialing to pulse.
- See the example in the Dialer section for more details on this option.
-
- There is a new command line option, -E (for Europa), that tells ProFile
- to correctly handle European dates i.e. day.month.year and phone
- numbers. For instance Christmas would be listed as 24.12.90 according to
- the European custom (instead of 12/24/90 here in the U.S.) This also
- changes the way ProFile handles sorting and selecting date fields. The
- phone number field will now accept any sequence of 12 characters versus
- forcing the U.S. standard of a 3 digit area code and 7 digit local
- number.

- To start ProFile with European settings, type PF -E at the DOS prompt
- and press [ENTER].
-

- PROFILE DIALER
- --------------
-
- PROFILE DIALER IS ONLY AVAILABLE ON THE REGISTERED PROGRAM DISK. (WE'VE
- WERE NOT ABEL TO FIT IT ON THE DEMO DISK!)
-
- ProFile has a new Dialer function that you can use to dial any number in
- a database. Dialer is available when you are using the Edit function. It
- is a handy way to use your ProFile database as an online phone book. You
- may have as many phone numbers for an individual or company as you need.
-
- Dialer works with any Hayes compatible modem (if you have another modem
- you'd like to use please call or write us).
-
- MODEM SETUP
-
- Before you use Dialer, you must use the Dialer Setup function on the
- Utilities Menu. The Dialer Setup function lets you define the Serial
- Port you modem uses, baud rate, parity, stop bits, and word length. If
- you're not certain of these values, accept the default settings and see
- if they work. (If they don't, try changing the baud rate to 1200 in the
- Dialer Setup function).

- The Dialer dials with the Hayes command language. It is set up to use
- the command ATM2DT (Tone Dial, with speaker). You may change this
- setting when you start the program with the command line option -D and
- follow the -D with the dialing initiation sequence. For instance, to
- start ProFile and specify pulse dialing (Hayes command ATDP), you would
- type at the DOS prompt- PF -DATDP. Note that ProFile automatically dials
- a one (1), for all numbers that have an area code. When you use the
- Dialer command line option, the program does not dial one (1) first for
- long distance numbers.
-
- USING DIALER
-
- After you complete the Dialer Setup, you may then use the Dialer
- function. To use Dialer:
-
- 1) Select Edit from the Main menu.
-
- 2) Locate the individual or company you'd like to dial by using the
- Next, Prev, First, Last, Find, Select functions.
-
- 3) Press ALT-D (for dial). If you have only one phone number on the
- form, ProFile will automatically dial the number. If you have more
- than one, ProFile will display a list of phone numbers from which
- you may select the number to dial. To select the number, move the
- cursor bar it and press [ENTER].
-
- 4) ProFile will display the number being dialed, and prompt you to press
- any key to return to the Edit menu. Pick up the handset and wait for
- the number to be completely dialed. After the number is dialed,
- press any key to disconnect the modem and return control to the
- handset.
-
- 5) You may press ALT-H to force a hangup command to be sent to the
- modem.
-
- PHONE NUMBER SETUP
-
- The Dialer function identifies the phone numbers in your database by
- looking at the fields that have been defined as Phone Number fields (see
- Defining Text Field Types in the manual). If you did not use the Phone
- Number type when the database was designed, the Dialer function will not
- find any phone fields. Use the Layout function on the Main Menu to
- change the database field types as required.
-
- When adding records, enter local numbers by using the space bar to move
- past the area code portion of the phone number. Next, type in the local
- number. Long distance numbers should include the area code. ProFile will
- automatically dial 1 and then the phone number. (If you need this
- changed, please call us. Also, see above for the Dialer command line
- option description.
-
- PRINT LABELS FROM ADD AND EDIT
- ------------------------------
-
- We've just added a feature to print one label when you are adding or
- editing records.
-
- To print a label,
-
- 1) Select Add or Edit from the Main Menu.
-
- 2) If you are adding new information, enter it into the form first. If
- you selected Edit, locate the record that you'd like to print using
- any of the search, next, or locate commands.
-
- 3) Press F8 to select the label file. Move the cursor bar with the arrow
- keys to the label you'd like to print. Press [ENTER].
-
- The current record will now be printed in the label format that you
- selected.
-
-
- DBASE II/III+ CONVERSION
- -------------------------
-
- The program DBF-PF.COM is contained on the PROFILE DOCUMENTATION DISK.
-
- DBF-PF will convert a dBase II/III+ database file into a ProFile Version
- 1 database. This database must then be converted to version 2 format by
- using the CONVERT program that is shipped to every registered user.
-
- You may also use the Import feature of ProFile to bring in the data from
- a dBase (or other database) program. See Import in the manual for more
- information on using this function.
-
- DBF-PF examines the structure of the dBase database and creates the
- form, data and index files in a ProFile format. The form that it creates
- is quite simple, putting one field on each line in the form. It indexes
- the database on the first field of the database.
-
- The conversion program is a handy, quick way to convert data files in a
- dBase format. Once created, the form may be changed to a more pleasing
- and logical format. Read the section in the manual that covers changing the
- database for more information.
-
- The DBF-PF program is self-prompting. The only information needed is the
- dBase file name and the new file name for the ProFile database.
-
- If the dBase file contains fields that are too large for ProFile, you will
- be warned and the data automatically truncated. Both the data and the field
- name must fit on one line in the ProFile form. DBF-PF will not process
- dBase III note fields or dBase files with greater than 100 fields per
- record.
-

- National Software Design is a member of the Association of Shareware
- Professionals (ASP). By being accepted as a member, this firm has agreed
- to abide by the high standards that ASP sets for software being marketed
- as shareware.

- "Shareware" is a term used to describe a system for distribution of
- software. Under the shareware concept, software may be freely copied and
- passed along to others, or distributed through bulletin board systems,
- etc.

- As a recipient of a shareware program, you may use the software for a
- short trial period to determine if it meets your needs. If it does, you
- pay the registration fee. By paying the fee, you are granted the right
- to retain the software for your use. If the software is not suitable,
- then you may discard it.

- The shareware system provides substantial benefits the computing
- community (of which YOU are a member):

- 1) You get to try out the software BEFORE you buy it so you know exactly
- what you're buying.

- 2) Shareware is substantially less expensive than most commercial
- programs. You don't pay for costly marketing programs and fancy
- packaging.

- 3) You get access to a MUCH broader base of available programs.
- Thousands of excellent programs have been written by expert
- programmers who would never consider marketing commercially. Through
- the concept of shareware, these people make their programs available
- to the community. Usually, all they ask in return is a small fee to
- reward them for the time and effort they've put into the program.

- The system is based entirely on the honour system, and generally works
- quite well. (Most people are honest and wouldn't violate the trust
- placed in them by the author of the software.)

- A number of sample databases have been included on the diskette labeled
- PROFILE DOCUMENTATION DISK. These files should help you get up and
- running with ProFile. They make use of many of ProFile's advanced features
- including keyed access, easy to read forms and help for critical fields.
- Modify them to fit your specific needs.

- The sample databases are stored in a self-extracting archive called
- EXAMPLE.COM. To unpack the files, type EXAMPLE and press [ENTER].

- The BUSINESS and RESIDENT databases contain sample data that may be used to
- practive creating reports and labels. The other databases contain only
- a blank form. When you first use them these files will be created for
- you. Information may be added to them or the forms changed as needed.
